DPC - 04.06 Project Manager - Handling Change Orders

After a project begins construction, inevitably some changes are always needed. If/when changes must be made to the project after it is moved to DPC Mode (example: change orders, additional takeoff, changes to labor/production) it is important to follow the steps indicated in the next few articles to ensure that no data is lost. We've placed several Warnings below to emphasize how critical it is to follow these instructions carefully.

The Foreman may continue posting percents and enter time while the Project Manager is adding/pricing Change Orders, but the Project Manager must not send out a new project file (DPC Bid Package) until he or she receives and imports all DPC changes from the field. Once the Foreman sends his DPC Changes to the Project Manager, he or she needs to stop entering time/setting percents until he or she receives a new DPC Bid Package from the Project Manager.

Please review this section carefully - failing to follow these instructions will cause your Bid to all out of synch between the Project Manager and Foreman. If this happens, pending work on the Foreman's machine will be lost.

Once the Project Manager adds and prices all updates to the Bid (Change Orders) and activates DPC Mode on the new Change Orders and then the Base Bid, the Project Manager needs to send a new DPC Bid Package out to the field. Before the Project Manager sends out a new DPC Bid Package, he or she must receive all pending DPC Changes from the field.

Warning

The Project Manager must receive and import all DPC Change files from every foreman in the field before creating a new DPC Package or all unsent work in the Foremen databases will be lost. Percenting, timecard entries, and notes that have not been sent will be irrevocably lost if the Project Manager creates a Bid Package before importing all DPC changes from the field.

Also, it is of vital importance that DPC Change files be imported in the order they are received/timestamped.

The Project Manager receives and imports all DPC Changes from all Foremen in the field (see Related articles for more information on sending/receiving project updates. The Project Manager must verify that the DPC Changes he/she received from the field are the latest updates (via telephone conversation or e-mail). The Foremen stop entering information in DPC until they receive and import a new Bid Package from the Project Manager. Any percenting or time entered in the interim will be lost.

After importing all changes, the "earned Hours" reported by the Foreman (or the sum of all Earned Hours for multiple Foremen) should match the "Earned Hours" in the Project Manager's Budget Tab.

Warning

Once all Foremen send in their updates for Project Manager, all Foremen must stop making changes to the project (percenting, time, notes) until they receive and import an updated DPC Bid Package from the Project Manager. Any work done on the foreman's machine between the time they send in their changes and receive the new DPC Package will be lost.
